Precision Room & Resource Booking for Office 365

One of the world’s leading engineering and scientific technology companies, builds on Microsoft Office 365 to streamline how meeting rooms, workspaces, customer demonstration areas and even catering services are provisioned.

Renishaw is one of the world’s leading engineering and scientific technology companies, with expertise in precision measurement and healthcare.

Its cutting-edge products – which include metal 3D printing – are reflected in the company’s approach to delivering the infrastructure that underpins its operations.

Some years ago, the company rolled out Microsoft Office 365 to deliver messaging and collaboration services across its growing international workforce.  With more than 70 offices in 33 countries, and some 95% of sales made outside the UK, Renishaw has a strong global presence.

More recently the company has invested in a resource booking solution designed to build its Microsoft office systems to streamline how meeting rooms, workspaces, customer demonstration areas and even catering services are provisioned.

A major catalyst for implementing the system was the opening of its new Innovation Centre located at the company’s headquarters site near Wootton-under-Edge in Gloucestershire.

The chosen solution, Resource Central™ and ResourceXpress™ from Essential Computing, was selected following an in-depth pilot during which the company’s IT team assessed its functionality.

According to Brian Lyall, Renishaw’s Group IT Development Manager:

We want to make sure the booking of available meeting rooms, customer demonstration and training facilities is as easy as possible, and that visitors to our new HQ get a great impression.

In advance of meetings, staff members will be able to use Outlook calendar to book rooms and demonstration facilities along with additional services such as catering, parking spaces and notifications to reception staff.

On the day of the meeting, a combination of kiosks placed in reception areas and display screens installed outside individual rooms, will give staff and visitors an ‘at a glance’ view of room availability when they arrive.

Concluded Lyall,

In the past the process of preparing for a customer visit involved lots of phone calls and email traffic to ensure everything would be in place. By adding the process of booking resources into the standard Outlook appointment booking service we anticipate a lot of staff time will be saved.

About the solution

Available for both Microsoft Exchange and Office 365, Resource Central™ and ResourceXpress™ are resource management and booking solutions that build on an organisation’s investment in Microsoft technology and know-how to streamline how office space and other valuable resources get used.

‘In advance’ Resource Central enables staff to complete meeting room, hot desk and any associated resource and service requests (such as catering, presentation equipment and visitor badges) in just a few minutes – all from within Outlook Calendar – saving time for meeting organisers and facilities staff alike.

‘On the day’ ResourceXpress lets you use a range of off-the-shelf screens to optimise how meeting rooms and desks are used, and avoid the common syndrome of resources being booked in advance, but not actually being occupied on the day.
