Delivered as a managed project, the service commences with a detailed analysis of your existing environment and a project initiation workshop.
A full proof-of-concept phase ensures optimum levels of performance and determines operating guidelines for the migration. A fully audited migration is then undertaken, with the option to use your own internal IT resources to oversee completion.
The service incorporates TransVault software, a Windows-based application suite designed to accelerate, manage and simplify the movement of email records between (and within) different email archives, both on-site and hosted.
TransVault Migrator is a performance-optimised data migration engine that processes extremely large numbers of archived emails, applying conversion and transformation when required.
Using TransVault Migrator we will initially profile the content of your existing archive to give you an understanding of how much storage is being used, how many archive stores there are, the average mailbox size, total number of items etc. This is a valuable stage and can, for example, highlight data belonging to staff that have left the company that otherwise may have been forgotten.
Data is then extracted from the proprietary EmailXtender format and processed in accordance with meta-data (e.g. owner, location, email headers, flags, etc.), according to the specific needs of your organisation. It can then be either injected directly into the ‘target’ archive system or put into an interim format supported by the target archive. Depending on the target archive, TransVault can also convert shortcuts in users’ mailboxes so that they work seamlessly with the new archive service.
All migration activity can be logged and audited to ensure the integrity of your email records, thus preserving evidential weight as you move data from one archive to another.
Many archive systems have some kind of ‘export to files’ function. However, they tend to be slow, very manually intensive processes that have no error-logging, no batching or audit capability. Options for giving users access to migrated data can also be limited (for example, at best via a separate search portal).

Yes. In the past, other options for your EmailXtender to SourceOne upgrade included:
In Place Migration. This method migrates meta-data from your EmailXtender database into the SourceOne database so that SourceOne can access your existing EmailXtender archives. Any user retrievals or searches go via SourceOne, but access your legacy EmailXtender data stores. If you have long retention policies, it may not be desirable to continue to use old storage systems on into the future.
Co-existence. With this model the existing EmailXtender archive and the new SourceOne archive coexist, and the results of searches are federated against both archives. This option was only ever positioned for organizations that had data with a short retention period and is no longer recommended now that official support for EmailXtender has expired (end of life was March 31, 2012).
EMC’s preferred route for protecting your legacy data is now to use TransVault Migrator to SourceOne to perform a full data migration into SourceOne.
The EmailXtender to SourceOne upgrade service includes a special, lower-cost TransVault Migrator licence which is supported by EMC and is available from Essential.

Yes. Essential can assist in the process of migrating from Notes to Exchange. Using TransVault we can convert archived Notes content in EmailXtender and in .NSF files to Exchange format, putting it directly into your preferred Exchange archive platform.
We can also convert legacy shortcuts to work with your new system.
In the event that users have encrypted their Notes emails, TransVault can decrypt them ‘on the fly’, ensuring that e-mails are fully functional and discoverable in the new environment.
Where necessary, TransVault can also re-write internal e-mail addresses so that legacy e-mails can be successfully replied to within the new mail system or new domain.
Yes. Prior to your migration we will use TransVault software to profile your existing archive usage - e.g. how much storage is being used, how many archive stores there are, the average mailbox size, total number of items etc.
Essential also uses a specialist Exchange reporting application, Mailscape, to help build a picture of your live email environment, user activity, sizes of mailboxes, quota analysis and inactive mailboxes.
This information combined enables you to be selective in what you migrate and helps you design the optimum Exchange environment to support your email usage patterns. For example, you might want to migrate a department of users at a time to a specific new archive store or re-group users according to archive storage consumption.
Compliance regulations permitting, it’s also possible to:
- Move just the last n years-worth of data,
- Move only the data that users still have shortcuts to,
- Not move emails that have [SPAM] in the subject, etc
TransVault keeps track of the migration of each individual item. For example, forensic reports show 1:1 mappings of the ID of the item in the source archive and the ID of the new item as it is moved to the destination archive, enabling you to demonstrate of a complete ‘Chain of Custody’ for the data whilst undergoing migration.
Reporting is also available to highlight how much data has been moved for each ‘mailbox‘ in the archive.
Essential will deliver migration reports as part of its migration service.
TransVault keeps track of any migration failures.
Failures may simply be temporary owing to environmental issues such as poor network bandwidth or high loading on the legacy archive system, in which case TransVault will automatically re-process the relevant item(s) a specified number of times and/or at a different time of day.
In the event of a permanent failure, a full log of the item(s) in question is produced, enabling further site-specific investigation.
'Permanent' failures tend to be low – typically .001% of the overall email quantity. They are usually attributable to pre-existing problems in the source archive (i.e. not caused by the migration process). As such, it is likely that these items would NOT have been picked up by any audit or e-discovery exercise.
Essential will work with your legal department to work out the desired course of action in the event of any failures.
In laboratory tests, a single TransVault server processing 10 mailboxes at a time in parallel has been shown to extract data from leading archives at speeds approaching 100 GB of uncompressed data per hour (2.5 TB per day).
In practice, however, achieving best performance is dependent on environmental factors such as:
- Available network bandwidth
- Speed of the storage subsystem on which the legacy archive sits
- The ingestion performance of the target archive system
- The scheduling of other project elements such the commissioning of the target environment.
Note that TransVault servers can operate in parallel to ensure that the performance of the TransVault services is never a limiting bottleneck on the duration of the project.
Essential can implement a proof of concept (POC) to establish likely throughput rates in your specific environment.
For optimum performance you will typically need to make available one or more servers for the migration time-period. You will also need temporary access to an SQL database. Essential can advise you on the pre-requisites.
A good starting point is to find out how much data you have to be migrated, but this is just part of the equation. We will start by performing a detailed profile of your environment, looking at all the elements that can influence your migration project.
- What is the version history of your archive?
- Is the current archive performing to an acceptable level?
- Is it under stress in any way?
- Are retention policies in place with the current archive?
- How many active mailboxes are being archived?
- How many archived mailboxes are not active (i.e. belonging to leavers)?
- Are there ongoing discovery processes that need to be taken into account?
